How instructions are authorised and verified before system approvals go live
Authorised persons registered
At onboarding the client designates in writing the persons authorised to give instructions and the scope of their authority; changes take effect only after written notice and verification.
Written instructions
Payment and conversion instructions are submitted in writing through the client portal or the registered email address, stating currency, amount, receiving account and purpose.
Telephone call-back
The desk calls the authorised person on the registered number to confirm the instruction details; a receiving account or wallet address used for the first time is verified through two channels.
Four-eyes review and execution
The instruction is entered by the desk and reviewed by a second person before execution; ambiguous, incomplete or non-compliant instructions are not executed and the client is notified.
Records and exceptions
A record is issued after execution; an erroneous instruction can be withdrawn before funds are released, and after release the desk assists with recall through the receiving bank; incident records are available for due diligence.
Three common monthly operations
Overseas customer pays in USDT, business receives AUD
Customer pays to a dedicated address → on-chain screening → finance confirms the quotation → fiat credited in the corporate name, with records and statement generated the same day.
Paying an overseas supplier
Finance submits the payment instruction → authorised person verified by call-back → executed by the licensed remittance partner → payment record and credit confirmation kept separately.
Retaining next month's operating balance
Next month's balance is retained by currency and the remainder converted at a single quotation; balances and movements are shown by entity in REV.
Systemised cycle
Receipt
Counterparties pay in fiat or USDT / USDC; funds are screened before being credited.
Retention of operating balance
The following month's balance is retained by currency; the remainder is converted as required.
Conversion confirmation
A single quotation, executed on finance confirmation, with the record retained.
Payment approval
Each payment passes through five states: submitted, checked, approved, executed, confirmed. The system never displays 'sent' as 'settled'.
Reconciliation
Monthly statements by currency and route, suitable for auditors and tax advisers.
Separation of finance, management and compliance
Submission and reconciliation
Payment entry, document upload, review of in-flight items and records, statement export.
Approval and limits
Approval by amount and payee; per-payment and monthly limits.
Admission and screening
Counterparty due diligence and on-chain screening, performed by the Sydney team.
